Privacy Policy

GentleRing places a short, friendly phone call to an older adult at their medication time, reminds them by name, and lets the family caregiver know if a dose is missed. Because that involves calling a real person and handling information about their health, we want to be plain about what we collect and who it goes to.
GentleRing is operated by Buckshot Digital Sales Inc., a company based in Ontario, Canada. In this policy, “we” and “us” mean GentleRing. “You” means the caregiver who holds the account. “The recipient” means the person we call.
Information we collect
From you, the caregiver, when you create an account and set up care:
- Your name, email address and phone number.
- If you sign in with Google, we receive your name, email address and profile picture from Google. We do not receive your Google password.
- Details about the person you are caring for: their name, phone number, time zone, and the medications, dosages and times you enter for them.
Created automatically when a reminder call happens:
- Call records: the time of the call, how long it lasted, whether it was answered, and whether the recipient indicated they had taken their medication.
- The conversation itself. Our calls are handled by an automated voice assistant. The recipient's speech is processed and transcribed so the assistant can respond, and so we can tell you what happened on the call. A written summary and related notes are stored on your account.
- Escalation records, such as when we texted you because a dose was missed.
Billing information is handled by Stripe. We receive a record of your purchases and credit balance. We never see or store your full card number.
Consent to be called and recorded
This is the most important part of this policy. When you add someone to GentleRing, you are telling us that you have the authority and their permission to have us call them, and that you have told them the calls are handled by an automated assistant and that what they say is processed and transcribed. Please do not add someone who has not agreed to this. You can remove a person, and stop their calls, at any time from your dashboard.
How we use information
- To place the reminder calls you schedule and to hold the conversation.
- To tell you what happened: whether the call was answered and whether a dose was missed.
- To text or email you when something needs your attention.
- To provide your account, apply credits, take payment and provide support.
- To keep the service working, investigate problems and prevent abuse.
We do not sell personal information, and we do not use the contents of calls to advertise to you or anyone else.
Who we share information with
We use a small number of service providers to run GentleRing. Each receives only what it needs to do its job:
- Twilio places the phone calls and sends the text messages. It handles phone numbers and call audio.
- ElevenLabs provides the conversational voice assistant, and processes the call audio and conversation in real time.
- Anthropic processes the call transcript to produce the short summary you see on your dashboard.
- Supabase hosts our database and stores your account, care details and call records.
- Stripe processes payments.
- Vercel hosts the GentleRing website and dashboard.
- Google, only if you choose to sign in with your Google account.
We may also disclose information if the law requires it, or where we believe in good faith that it is necessary to protect someone's safety.
Where information is stored
GentleRing is run from Canada, and our providers process and store information in Canada and the United States. If you are outside those countries, information about you will be transferred to and handled there.
What GentleRing is not
GentleRing is a consumer reminder service. It is not a medical device, it does not give medical advice, and it is not a substitute for professional care. We are not a healthcare provider, and we do not currently operate as a HIPAA covered entity or business associate. Please do not use GentleRing to communicate an emergency. If someone is in danger, call your local emergency number.
How long we keep information
We keep your account information for as long as your account is open. Call records, notes and summaries are kept so that you can look back at adherence over time. If you delete a person from your account, their details stop being used for calls immediately. If you would like your account and its associated records deleted entirely, email us and we will do it. We may keep limited billing records where we are required to.
Your choices and rights
- You can view and correct account, patient and medication details in your dashboard.
- You can pause or stop calls at any time by making a medication inactive or removing a person.
- You can ask us for a copy of the information we hold about you, or ask us to delete it.
- You can reply STOP to any text message to stop receiving texts.
Canadian privacy law (PIPEDA) gives you the right to access and correct your personal information and to withdraw consent. If you are in a region with additional rights, such as the EEA, the UK or certain US states, we will honour those requests as well. Contact us using the details below and we will respond.
Security
Access to your data requires authentication, our database enforces per-account access rules so one caregiver cannot see another's patients, and traffic is encrypted in transit. No service can promise perfect security, but if a breach affects your information we will tell you and the appropriate authorities as required by law.
Children
GentleRing is intended for adults. It is not directed at children, and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we make a meaningful change, we will update the date at the top of this page and, where the change is significant, tell you by email.
